These Terms and Conditions govern the relationship between De Gulden Poorte (hereinafter referred to as “Hotel”) and its guests. By booking or staying at the Hotel, guests agree to comply with these Terms and Conditions, which include elements of the Uniform Conditions for the Hotel and Catering Industry (UVH), the governing rules for hospitality services in the Netherlands. In case of discrepancies, the following Terms & Conditions prevail.

1. Bookings and Reservations

Booking Confirmation: Reservations are subject to availability and confirmed via email upon successful booking. This confirmation will include check-in/check-out times, payment policies, and services booked.

Deposit Requirement: A non-refundable deposit of €250.00 for one-bedroom suites or €500.00 for two-bedroom suites is required to secure your reservation.

Payment: Full payment is required no later seven days prior to arrival. Accepted payment methods include credit/debit cards (Visa, MasterCard, American Express, Maestro, and iDEAL bank cards). Payment will be processed seven days prior to arrival or at the time of booking if the booking is made prior to seven days to arrival.

2. Cancellation and No-Show Policy

Standard Cancellation: Guests can cancel or modify reservations up to 7 days before arrival without penalty, except for non-refundable deposits. Cancellations within 7 days of check-in will be charged 100% of the booking amount.

Non-Refundable Reservations: Non-refundable bookings cannot be canceled or modified, and the full amount will be charged if canceled.

No-Show: In case of no-show, the full booking amount will be charged.

3. Check-In/Check-Out

Check-In: From 15:00. Early check-ins are subject to availability and may incur additional charges.

Mobile Check-In: 48 hours prior to arrival, guests will receive an email and SMS with a link to check in via their mobile devices. Alternatively, check-in is available at the kiosk in the hotel lobby.

Check-Out: By 11:00 on the day of departure. Late check-outs are possible upon request and may incur extra fees.

Automated Check-Out: Guests can simply leave before check-out time, and the bill will be emailed automatically upon departure.

4. Room Rates and Taxes

a. Rates: Rate Accuracy:

The hotel strives to provide accurate pricing information at all times. However, despite our best efforts, inadvertent errors in pricing may occur. These errors may include, but are not limited to, typographical mistakes, incorrect room rates, or errors in promotional offers.

b. Hotel Rights Regarding Pricing Errors:

In the event that a reservation is made based on an incorrect rate due to a pricing error, the hotel reserves the right to:

Amend the Booking: Contact the guest as soon as the error is discovered to inform them of the correct rate and offer the opportunity to either:

• Amend the booking at the correct rate, or

• Cancel the booking without penalty.

Void Reservations: In cases where the rate error is substantial and the reservation cannot be honored at the corrected price, the hotel reserves the right to void the reservation and issue a full refund of any amounts paid.

c. Promotions and Special Offers:

Promotional rates and special offers are subject to availability and may be subject to additional terms and conditions. The hotel is not responsible for honoring rates displayed in error or rates that do not conform to the promotional terms.

d. Final Price Confirmation:

The price confirmed at the time of booking will be considered final unless a pricing error is discovered before check-in. Guests are advised to verify the total price of their booking in the confirmation email to ensure the accuracy of the reservation.

e. Hotel’s Liability:

The hotel accepts no responsibility for bookings made at incorrect rates due to errors beyond its control. In the event of such an occurrence, the hotel’s liability is limited to correcting the error and offering an alternative rate or a re

5. Children and Extra Beds

Children Policy: Children under 12 stay free of charge when using existing beds. Extra beds are available on request and may incur additional fees.

Baby Cots: Available upon request at no extra charge, subject to availability.

6. Hotel Rules and Conduct

Non-Smoking: The Hotel is a non-smoking establishment. Smoking is prohibited in all rooms and public areas, except on the Penthouse outdoor terrace. Violations will incur a cleaning fee of €500.00.

Quiet Hours: Guests must observe quiet hours from 22:00 to 08:00 for the comfort of all guests. Parties are not permitted.

Pets: Pets are not allowed on the premises.

7. Smart Hospitality Services

The Hotel offers smart hospitality services as listed below, supplementing hotel services customarily offered in typical hotels including onsite personnel for front office, reservations, concierge and guest services.

Digital Keys: Issued via email at check-in time, enabling guests to access their rooms directly

Registration Kiosks: Kiosks in the lobby allowing for the check-in/check-out and concierge services

Automated Payment: One week prior to arrival, guests can manage their stay, including ordering breakfast, accessing the digital concierge, setting up parking, and contacting the reception, all via their mobile devices.

Virtual Concierge: Available 24/7 via mobile devices to assist with personalized recommendations, room service, and other queries.

Guest Services Portal: Guests can access push-button services, including media streaming, through the Guest Services Portal available on arrival.

8. Liability

Guest Responsibility: Guests are responsible for any damage caused to the property or hotel furnishings. The hotel reserves the right to charge the credit card on file for necessary repairs or replacements.

Hotel Liability: As per UVH regulations, the Hotel is not responsible for loss, damage, or theft of personal belongings during the stay. Use the in-room safe for valuables.

Force Majeure: The Hotel is not liable for failures to perform obligations due to circumstances beyond its control (e.g., natural disasters, pandemics).

9. Privacy and Data Protection

Data Collection: The Hotel collects personal data during the booking process in compliance with applicable data protection laws.

Data Sharing: Guest data will only be shared with third parties as required by law or for necessary services related to the booking.

10. Parking and Transport

Parking: Limited parking is available on-site. Parking reservations are recommended and may incur additional charges. The Hotel is not liable for theft or damage to vehicles parked on the property.

Transport: Airport transfers and other transport services can be arranged upon request for an additional fee.

11. Governing Law and Dispute Resolution

These Terms and Conditions are governed by Dutch law, with disputes resolved in the courts of the Netherlands, as stipulated by the UVH.
